Facilities Work Orders, Requests & Tips

All Facilities Work Orders will have at least a 5 day turnaround except in emergency situations. (An emergency is constituted by any maintenance issue that effects the safety, health or well–being of our students & staff). Please contact the office immediately in these cases at x8401

Work Order Prioritization
All Work Orders will be prioritized per the following order:
  1. Direct risk to safety, health or well being of our students & staff
  2. Determined deadlines pertaining to class / campus schedules
  3. Designated planning though Dept. heads

Grounds Department work orders are submitted for any requests pertaining to the exterior campus grounds, event furniture set–ups & furniture/item moves.

Furniture/item moves will not be scheduled until a completed Property Disposition Form (located on I–Drive) is submitted to the Facilities Dept.

NOTE: Any request for space via Room Scheduling if needed 24 – 48 hours prior to an event, please forward an e-mail request and a Work Order.


  1. Computer Labs: E-mail a request for use to Janis Cutaia (8364), Janis will create the Work Order.
  2. Tech-Voc (1101/1135,1137,1150): E-mail a request for use to Estela or call X8426, prior to submitting a Work Order.
  3. Please forward a Work Order to Room Requests for all other scheduling needs. NOTE: Please be mindful that Credit and non-credit schedules must be posted before we are able to schedule other activities/events outside of the current semester.
  4. Access the following modules in Datatel should you need info:
    • XFRS - For viewing/printing schedules of events/activities.
    • VAVR - For viewing available space for an event/activity.
    • BRCS - For isolating specific rooms to locate a specific event/activity.

Reminders
  • A Grounds Dept. Work Order is required for all set-ups.
  • You must reserve the Room or ‘Space’ for your event by entering a ROOMS work order in Web Advisor.
  • Submit a Special Event Notice with necessary work orders, and provide a set-up drawing for each event.
  • Include tables needed for catering needs in your SEN.
  • A 2 week notice for all Special Events.

Vehicle Request Work Orders are required within 72 hours before the trip is to be scheduled & must include the following:

Cancellation Policy
There is a 2 day notice necessary for cancellation of all vehicle reservations
